The request portal is a simple catalogue of request forms for your whole organization. People pick a form, submit it, and follow their request through approval to the finished run, without seeing workflows, runs or settings.
The portal is included in the Team, Business and Enterprise plans. It isn’t available on Free. See Plans and limits and Billing.

Open the portal

The portal lives at:
<org-id> is your organization’s URL ID, shown on Settings → Organization. Members reach it from Portal in the app’s sidebar, or Open portal on Settings → Request portal. Share the link with the people who’ll use it.

Requesters

A requester is a member who can only use the portal. Requesters:
  • don’t take a paid seat and don’t count towards your plan’s user limit;
  • can’t join workspaces or open any other part of Bentra: the app sends them to the portal;
  • can be designated approvers on a workflow.
Add requesters from Settings → Users with Invite User and the role Requester (request portal only). With single sign-on you can also add people as requesters automatically the first time they sign in: see member provisioning. See Members and groups. Owners, admins and members can use the portal too. It’s a convenient way for anyone to submit a request without going into a workspace.

What people see

The portal has three pages:
  • Request forms: every form published to the portal, with a search box, a category sidebar and tag filters. The page also shows the person’s most recent requests.
  • My requests: everything they’ve submitted, filtered by In progress, Completed or Closed (rejected, cancelled or failed).
  • Approvals: shown only to people who are designated approvers. Waiting on you lists open requests they haven’t decided on yet.
On a request’s page, people see its status, their answers, each approver’s decision and note, the run’s status, and an activity feed with comments. Depending on the request’s state and their part in it, they can:
  • comment;
  • Update details, while the request is open or changes are requested (submitter);
  • Cancel request, before it starts running (submitter);
  • approve, reject or request changes (designated approvers).
Requesters see the run’s status and timing but not its logs. See Requests and approvals for the full lifecycle.

Publish a form to the portal

A form appears in the portal when all of these are true: To turn it on, open the workflow, then Settings → Form Settings, switch on Show in request portal and select Save. You need the Writer or Admin role on the workflow. A form in the portal can be found and submitted by everyone in the organization, whatever its workspace visibility. Listed in Forms section and Workspaces only control the in-app Forms list; they don’t affect the portal.
Approval still applies to portal submissions. A portal form is a good fit for anything people across the company ask for, like access or a new environment, with your team’s approvers in the loop.

Description, category and icon

On the same Form Settings tab:
  • Description is shown under the form’s name in the portal and in the Forms list.
  • Category decides where the form sits in the portal’s sidebar. The categories are Access & permissions, Infrastructure, Data & databases, Developer tools, Security & credentials, Operations & incidents, People & onboarding and Other requests (the default). Each has its own icon, and the sidebar only shows categories that hold at least one form.
  • Icon is shown next to the form in the in-app Forms list.
Tags on the workflow’s General settings become the portal’s tag filters.

Brand the portal

Open Settings → Request portal. Owners and admins can change: Select Save to apply the name, message and colour. The logo is saved as soon as you upload or remove it. The portal always uses the light theme. To set branding from code, see Request portal branding.

If your plan changes

If the organization moves to a plan without the portal, its pages close for everyone and Show in request portal can’t be turned on. Requesters see a message that the portal isn’t available. Your forms, requests and settings are kept, and the portal reopens when the plan includes it again.
