Members
Open Settings → Users. Owners, admins and members can see the list; owners and admins manage it.Invite someone
1
Open the invite form
On Settings → Users, select Invite User.
2
Enter their email and a role
Choose Requester (request portal only), Member, Admin or Owner. Only owners can invite an owner.
3
Send
Select Send Invite. Bentra emails them a link that’s valid for 7 days.
Change a role
Pick the new role in the person’s row on Settings → Users. The change applies straight away.- Only owners can make someone an owner, or change or remove an owner. An organization always keeps at least one owner.
- Making someone a Requester removes them from every workspace and revokes their API tokens.
- Changing a requester to another role gives them a seat in the default workspace, and needs a free seat on your plan.
Remove someone
Select Remove in the person’s row. Removing someone takes them out of the organization completely:- their workspace memberships, group memberships and group ownerships are removed;
- their workflow roles and other role assignments are removed;
- their API tokens for the organization are revoked.
Workspaces
Every organization has a default workspace. Every member except requesters gets a seat in it, and it can’t be deleted.Create a workspace
Open the workspace menu at the top of the sidebar and select Create workspace. Enter a Name and an optional Description, then Create. You join the new workspace as its owner. Members, admins and owners can create workspaces. The workspace’s URL comes from its name, so names must be unique within the organization.Add people to a workspace
Switch to the workspace, then open Settings → Members (under Workspace). Organization owners and admins can:- add a person: select Add Member, then on the User tab enter their Username and pick a Role;
- add a group: on the Group tab, pick the group and a Role. Bentra adds each of the group’s current members who isn’t already in the workspace. People who join the group later aren’t added automatically, so add the group again when its membership changes;
- change someone’s role in their row;
- remove someone with Remove. They stay in the organization.
Rename or delete a workspace
Owners and admins open Settings → Workspaces (or View all workspaces in the workspace menu) and select a workspace.- Under Workspace Settings, change the Workspace name or Description and select Save settings. Renaming changes the workspace’s URL.
- Under Danger Zone, Delete removes an empty workspace and its memberships. It’s only offered when the workspace has no workflows, forms, runs, requests, connectors, variable collections or runner pools: move or remove them first.
Groups
A group is a named set of organization members. Use groups to give workflow roles and to make a set of people approvers, so access follows group membership. See how groups are used.Create a group
Owners and admins open Settings → Groups and select Create Group. Enter a Group Name and an optional Description. You become the group’s first owner. Group names are unique in the organization.Add members and owners
Open the group from Settings → Groups. A group’s owners, and organization owners and admins, can manage it.- On the Members tab, select Add Member, choose a user and a Role: Member or Owner.
- Make Owner promotes a member. Owners can add and remove members and owners, rename the group and delete it.
- Remove takes someone out of the group; Remove owner removes an owner. A group always keeps at least one owner.
Use a group
- Workflow roles: on a workflow’s Settings → Permissions, select Add Permission, then Group. Access follows the group’s membership straight away.
- Approvers: on a workflow’s Settings → Request Settings, select Add Approver, then Group. See Requests and approvals.
- Workspace access: add the group from the workspace’s Settings → Members, as above.
